What we do with your information

The short version
- When you message, text or call a business that uses Simply Agentic, we pass your message to that business and help it answer you.
- We use what you send for that and nothing else. We do not sell it, use it for advertising, or use it to train AI.
- You can ask us to show you what we hold, fix it or delete it. How to have your data deleted.
1. Who we are
Simply Agentic is run by James Thomas Banner trading as Simply Agentic, ABN 27 660 802 132, in New South Wales, Australia. We set up automation for small businesses: answering messages and missed calls, taking orders and bookings, and keeping the owner's paperwork in order.
In this policy, "the business" means the café, trade or other small business you contacted. "We" means Simply Agentic, working on that business's behalf.
2. Who this policy is for
- Customers of a business that uses us. You messaged, texted or rang the business.
- Business owners who use us and have connected their accounts.
3. What we collect
If you are a customer

The ID number from Meta only works for that one business. It does not tell us your login, your friends, your other messages or anything else on your profile, and we do not ask Meta for those.
If you are a business owner
- Your name, business name, ABN, mobile number and email address.
- Your menu, prices and opening details, as you give them to us.
- When you connect Facebook and Instagram on our Connect page, you log in with Facebook Login for Business. We receive the ID number Facebook gives you for our app, your first name, and the names and pictures of the Pages you choose to share. For the Page you pick we keep its ID number, the ID number and username of its linked Instagram account, and an access key that Meta issues for that Page. We never see or hold your Facebook or Instagram password.
- The Page's access key is stored encrypted and is never shown in your browser. The key for your own Facebook login is kept, encrypted, for at most one hour, and is deleted as soon as you pick a Page.
- What you do in the back office: your replies, posts you draft and approve, invoices, and receipts you photograph.
What we do not collect
- Card numbers or bank details.
- Your location, contacts or friends list.
- Anything from your Facebook or Instagram account beyond what is listed above.
4. Why we use it
- To get your message to the business and show it in the owner's back office.
- To answer you in the same chat or by text, on the business's behalf.
- To read an order or booking, read it back to you, and put it in front of the business.
- To keep the business's own record of its conversations, orders and invoices.
- To find and fix faults, and to stop misuse.
We do not sell your information, use it for advertising, build a profile of you, or send you marketing. A business can only reply to a conversation you started.
5. How AI is used
- An AI model may read the words of your message to work out what you are asking for or ordering.
- Prices and totals are looked up and added by ordinary computer code from the business's own menu, not by the AI.
- An allergy or dietary need, something that is not on the menu, or a large order is always passed to a person at the business.
- You can ask for a person at any time. Say so in your message.
- Your messages are not used to train AI models, by us or by the company whose model we use.
6. Who sees your information
The business you contacted. It is their conversation with you. The owner and their staff see it in the back office.
Companies that provide the service to us. Each receives only what it needs for its part:

Some of these companies are overseas, so your information may be handled outside Australia. We use them under their business terms, which limit what they may do with it.
Anyone else: only if the law requires it.
Requests from public authorities. If a government agency or other public authority asks us for information, we check that the request is lawful, challenge it if it is not, give only the minimum the law requires, and keep a record of the request.
7. How we keep it safe
- Records are kept in private storage in Sydney. They are not on the public internet.
- Everything travels over an encrypted connection.
- Every message from Meta is checked against Meta's signature before we act on it.
- Access keys are kept apart from the records.
- The back office needs a sign-in. A business sees only its own records.
No system is perfect. If something goes wrong that is likely to cause you serious harm, we will tell you and the business as soon as we can.
8. How long we keep it

You can ask for yours to be deleted sooner. See section 9.
9. Your choices
- See it or fix it. Ask us what we hold about you, or ask us to correct it.
- Delete it. How to have your data deleted.
- Disconnect Facebook and Instagram (business owners). In your back office, open the menu and choose Disconnect Facebook, or remove Simply Agentic in Facebook's settings under Business integrations. Either way messages stop coming to us and the Page's access key is deleted.
- Stop texts. Reply STOP to any text.
- Stop messages. In Messenger or Instagram, stop messaging the business or block it. The business can only answer conversations you start.
To do any of these, email info@simplyagentic.com.au. We answer within 30 days. There is no charge.
10. Complaints
If you think we have mishandled your information, email info@simplyagentic.com.au and we will look into it and answer within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes to this policy
If we change this policy we will put the new version on this page and change the date at the top. If the change is significant, we will tell the businesses that use us.
